Terms & Conditions:-

Who you are booking with :- Judy Richter, trading as CharlieFarleysBikeTours. Location: Breadsall, Derby DE21 4GB Email: CharlieFarleysBikeTours@gmail.com

These terms should be read alongside your chosen tour description and written booking confirmation.

  1. Booking and payments A deposit of 20% of the total tour price is required to secure your booking. The remaining balance must be paid no later than eight weeks—56 days—before departure. Bookings made within 56 days of departure require full payment. If a payment is overdue, we will contact you and give you a reasonable opportunity to pay before cancelling your booking.

  2. Your written confirmation will set out your tour, price, payment schedule and included services. Updated website terms do not retrospectively replace terms already agreed for an existing booking. 3. If you cancel please send cancellations in writing to CharlieFarleysBikeTours@gmail.com.

The following maximum cancellation charges apply:

    ● More than 56 days before departure: 20% of the total tour price.

    ● 31–56 days before departure: 50% of the total tour price.

    ● 30 days or fewer before departure: 100% of the total tour price. Charges will reflect our justified losses, taking account of costs saved, supplier refunds and income from reselling your place. We will explain the calculation on request and refund any amount paid above the applicable charge. These charges do not override any legal right to cancel without a fee. Where package-travel law applies, refunds following termination will be made within the required 14-day period.

  3. Travel insurance. You must arrange suitable travel insurance, including cancellation cover, from the time of booking. Check that your policy covers your destinations and planned motorcycle riding, including any engine-size, licence, equipment or activity restrictions. Overseas cover should include appropriate medical treatment and repatriation. Travel insurance does not replace motorcycle insurance or breakdown cover. Please check these separately. 5. What your tour includes Your tour description and booking confirmation explain the accommodation, transport, activities and other services included in your price. Do not assume that flights, ferries, motorcycle hire, fuel, meals, admission charges or other expenses are included unless expressly stated. Please tell us about dietary requirements, disabilities, accessibility needs or other requests before booking. We will discuss suitability and confirm any agreed arrangements in writing.

  4. Rider and participant responsibilities Riders must hold a valid licence for the motorcycle and countries involved, together with appropriate motorcycle insurance and required documents. Your motorcycle must be roadworthy, legally compliant and suitable for the planned route. Appropriate protective clothing must be worn. You remain responsible for controlling your motorcycle, complying with local laws and riding within your ability. Never feel obliged to keep pace with another rider or make an unsafe manoeuvre. Do not ride while impaired by alcohol, drugs, medication or fatigue. Tell the tour leader promptly about any difficulty affecting your safe participation. These responsibilities do not remove our own duties as organiser.

  5. Our responsibilities and changes to arrangements We will exercise reasonable care and skill in arranging and delivering the services we agree to provide. Weather, road closures or other circumstances may require changes to routes, timings or activities. We will explain changes and provide suitable alternatives where appropriate. If a significant change or cancellation becomes necessary, we will contact you promptly and explain your options, including any applicable rights to an alternative, refund or compensation. Nothing in these terms removes rights or responsibilities arising under applicable package-travel or consumer law.

  6. Partner-operated tours. Where another company operates a tour, we will identify the operator and explain our role before you book. Any applicable operator terms will be provided before you commit. This does not exclude responsibilities we have under applicable law.

  7. Problems and complaints. Please tell Judy or the tour leader as soon as a problem arises so we have an opportunity to help. If the matter remains unresolved, email CharlieFarleysBikeTours@gmail.com with your booking details and a description of the problem.

  8. Liability. Motorcycle touring involves risks, but participation does not mean you waive your legal rights. Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded or restricted.

  9. Photographs and videos. Permission to use identifiable photographs or videos of you for our website, social media or promotional materials is optional and will be requested separately. You can decline without affecting your booking. You may withdraw permission for future use by emailing us. We will stop new use and remove material from channels we control where reasonably possible, although we cannot recall printed materials or copies shared independently by others. Please respect fellow participants’ privacy and ask before posting identifiable images of them.

  10. WhatsApp tour groups. Joining a tour WhatsApp group is optional. Other members will be able to see your telephone number and any profile information your privacy settings allow. Essential booking and tour information will also be available by email. Please respect other members’ privacy and do not share their contact details without permission.

  11. Acceptance. Before booking, please read these terms and your chosen tour details, and ask us about anything unclear. Agreement to these booking terms does not constitute consent to promotional photography or membership of a WhatsApp group
